{"id":207,"date":"2018-04-24T17:28:59","date_gmt":"2018-04-24T15:28:59","guid":{"rendered":"http:\/\/zupertails.be\/wur\/?p=207"},"modified":"2018-04-24T17:28:59","modified_gmt":"2018-04-24T15:28:59","slug":"office-356-migration-5","status":"publish","type":"post","link":"https:\/\/zupertails.be\/wur\/?p=207","title":{"rendered":"OFFICE 356 MIGRATION (5)"},"content":{"rendered":"<h2>Force The User, Luke<\/h2>\n<p>In <a href=\"http:\/\/zupertails.be\/wur\/?p=172\">our previous post<\/a>, we&#8217;ve set up everything so we&#8217;d be able to start creating the users and their respective mailboxes.<\/p>\n<p>If at this point you&#8217;ve already changed the mail server name in the domain&#8217;s MX record to that of the Office 365 one, remember that actual mail might already be arriving (or bouncing) in the O365 environment, so be cautious of this, when migrating a live situation.<\/p>\n<p>A small recap below in case you forgot our intended setup :<\/p>\n<figure id=\"attachment_149\" aria-describedby=\"caption-attachment-149\" style=\"width: 612px\" class=\"wp-caption alignnone\"><img loading=\"lazy\" class=\"size-full wp-image-149\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/03\/mailsetup_02_2.png\" alt=\"\" width=\"612\" height=\"412\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/03\/mailsetup_02_2.png 612w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/03\/mailsetup_02_2-300x202.png 300w\" sizes=\"(max-width: 612px) 100vw, 612px\" \/><figcaption id=\"caption-attachment-149\" class=\"wp-caption-text\">Veritas !<\/figcaption><\/figure>\n<p>If you&#8217;ve been paying attention in the previous posts, you&#8217;ll know we will be needing to create three users here :<\/p>\n<ul>\n<li>Oliver<\/li>\n<li>Annie<\/li>\n<li>John<\/li>\n<\/ul>\n<p>All other mail related stuff will be handled with mail groups or shared boxes.<br \/>\nRemember : the Microsoft licensing system in O365 is user-based, not computer-based.<\/p>\n<p>Let&#8217;s start off with creating these three accounts.<br \/>\nOpen the <a href=\"https:\/\/portal.microsoftonline.com\">Office 365 admin portal<\/a> and open the &#8220;Users&#8221; menu, and then select &#8220;Active Users&#8221;.<\/p>\n<p><img loading=\"lazy\" class=\"aligncenter wp-image-213 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365admin_users.png\" alt=\"\" width=\"299\" height=\"369\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365admin_users.png 299w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365admin_users-243x300.png 243w\" sizes=\"(max-width: 299px) 100vw, 299px\" \/><\/p>\n<p>Next, Click the &#8220;+ Add a user&#8221; button and a small form appears.<\/p>\n<figure id=\"attachment_214\" aria-describedby=\"caption-attachment-214\" style=\"width: 407px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" class=\"wp-image-214 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_creating_oliver.png\" alt=\"Creating a user in O365\" width=\"407\" height=\"759\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_creating_oliver.png 407w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_creating_oliver-161x300.png 161w\" sizes=\"(max-width: 407px) 100vw, 407px\" \/><figcaption id=\"caption-attachment-214\" class=\"wp-caption-text\">Creating a user<\/figcaption><\/figure>\n<p>You&#8217;ll notice a couple of things in the user creation form (except from the obvious things of course) :<\/p>\n<ul>\n<li>The <strong>domain field<\/strong> shows your recently added domain as well as the onmicrosoft.com tenant name.<br \/>\nThis means that you&#8217;re not obliged to actually use a domain name in an O365 environment. When going for mailboxes, it&#8217;d be stupid\/silly\/&#8230; not to do so.<\/li>\n<li><strong>Password generation<\/strong> : either let Microsoft generate a password for you that complies with the O365 password policies or type one for yourself.<br \/>\nYou can also allow the user to be able to change their password on first logon.<br \/>\nMake your choice depending on the end-customer&#8217;s needs.<br \/>\nAfter confirming the user creation, you&#8217;ll also be given the option to send the credentials to an email address of your choice.<\/li>\n<li><strong>Roles<\/strong> : by default, new users will be given the &#8220;User&#8221; role, which allows for basic usage of the O365 environment. Other roles can be &#8220;Global administrator&#8221; or a custom mix of rights.<br \/>\nFor more info on the different types of admin rights, see <a href=\"https:\/\/support.office.com\/en-us\/article\/about-office-365-admin-roles-da585eea-f576-4f55-a1e0-87090b6aaa9d\">this Microsoft page<\/a>.<br \/>\nIf you&#8217;re ever to go and do a Microsoft exam on O365, these roles will pop up more than once in the questions list.<br \/>\nThe Roles parts also allows you to fill in an alternative email address, instead of the user having to do this. Purely intended for password retrieval purposes.<\/li>\n<li><strong>Product licenses<\/strong> : in the O365 demo you&#8217;ll be given 25 Enterprise E3 licenses.<br \/>\nDepending on your user&#8217;s needs, provide the correct licenses by clicking the slider next to the license name.<br \/>\nCreating an user without a product license, which is also an option, is ill-advised and used in only a few specific situations.<\/li>\n<\/ul>\n<p>Click the &#8220;Add&#8221; button and you&#8217;ll be greeted with the send-password screen asking you if you need to send the password in case you forget to write it down.<\/p>\n<p>Repeat for all the necessary users.<br \/>\nIn this case Annie and John will be created in the same way.<\/p>\n<p>Remember to remove the admin&#8217;s E3 license for good measure. (but keep him admin !!)<br \/>\nIn this demo environment, it doesn&#8217;t really matter, but you don&#8217;t want your customer to be paying for an unused license.<\/p>\n<p><img loading=\"lazy\" class=\"alignnone size-full wp-image-217\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_remove-admin_license.png\" alt=\"\" width=\"735\" height=\"218\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_remove-admin_license.png 735w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_remove-admin_license-300x89.png 300w\" sizes=\"(max-width: 735px) 100vw, 735px\" \/><\/p>\n<p>Just a tiny heads-up : if you don&#8217;t want your users to be calling you every <strong>90 days<\/strong>, you might want to perform the small task of changing the Password policy.<br \/>\nGo to <strong>Settings &gt; Security and Privacy<\/strong> and change password policy to &#8220;<strong>Never expire<\/strong>&#8221; and &#8220;<strong>Never notify<\/strong>&#8221; by clicking the &#8220;Edit&#8221; button.<\/p>\n<p><img loading=\"lazy\" class=\"aligncenter wp-image-221 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_pwdpol.png\" alt=\"\" width=\"580\" height=\"192\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_pwdpol.png 580w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_pwdpol-300x99.png 300w\" sizes=\"(max-width: 580px) 100vw, 580px\" \/><\/p>\n<p>&nbsp;<\/p>\n<h2>The spice must flow. So must the mail<\/h2>\n<p>Well, that didn&#8217;t seem so difficult, right ?<\/p>\n<p>Office 365 has automatically created a mailbox already for your users, in the background.<br \/>\nThe system knid of predicted that you&#8217;d be wanting a mailbox for your E3-licensed users, as otherwise it wouldn&#8217;t be logic that you&#8217;d provided them with such a license.<br \/>\n<span style=\"font-size: 1rem;\">Of course there&#8217;s still some things that need to be done, so let&#8217;s have a look there.<\/span><\/p>\n<p>There are two ways to edit mailbox properties.<br \/>\nThe easiest, but with the least fancy options is through the same &#8220;User&#8221; menu we used to create the users themselves.<br \/>\nThe second option is through the Exchange Admin Center.<br \/>\nLet&#8217;s start with &#8220;easy mode&#8221; :<\/p>\n<p><img loading=\"lazy\" class=\"aligncenter wp-image-218 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_user_mailprops.png\" alt=\"\" width=\"581\" height=\"399\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_user_mailprops.png 581w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_user_mailprops-300x206.png 300w\" sizes=\"(max-width: 581px) 100vw, 581px\" \/><\/p>\n<p>Click the user in the Active Users menu and his properties will appear in an overview.<br \/>\nOne of the options visible will be &#8220;Mail Settings&#8221;, where you can set up a couple of things :<\/p>\n<ul>\n<li><strong>Mailbox permissions<\/strong> : literally what it says. Allow others to have specific access to this mailbox. We&#8217;ll get into more detail when we reach a shared mailbox.<\/li>\n<li><strong>Email forwarding<\/strong> : allows you to *drumrolls* forward your user&#8217;s mail to another mailbox, with the option of leaving the original mails in your O365 box.<br \/>\nExternal mailboxes (unrelated to your O365 tenant) are also possible recipients.<\/li>\n<li><strong>Litigation Hold <\/strong>: allows for items in the mailbox to be retained even if the user deletes them.<br \/>\nPay attention that this can increase the size of your mailbox significantly.<br \/>\nMore info on litigation can be found on <a href=\"https:\/\/technet.microsoft.com\/library\/dn743673(v=exchg.150).aspx\">this Technet article<\/a>.<\/li>\n<li><strong>Automatic replies<\/strong> : I don&#8217;t believe this needs much explaining.<br \/>\nCan also be done through the user&#8217;s personal settings in either Outlook or throught <a href=\"https:\/\/outlook.office365.com\">https:\/\/outlook.office365.com<\/a> and preferably so. If you need to manage all your customers&#8217; mailboxes and set their Out of Office message yourself, you&#8217;d best be charging by the hour.<\/li>\n<li><strong>Email apps<\/strong> will provide you the option of disabling certani ways of connecting to the O365 mail system. I can imaging you might want to disable POP ad IMAP for instance. It depends on the specific needs, however.<\/li>\n<li><strong>Show in global address list<\/strong>\u00a0sets visibility of this mailbox in the address list when browsing through your company contacts. Usually you&#8217;d want this setting to remain untouched. Only in certain cases (for instance a logging or journaling mailbox) will this be a good choice.<\/li>\n<li><strong>Converto to a shared mailbox\u00a0<\/strong>basically unlinks the mailbox from a user license and changes it to an mailbox which is only visible through an other O365 account within your tenant.<\/li>\n<li><strong>Edit Exchange properties<\/strong> opens the &#8220;hard mode&#8221; Exchange Admin Center screen, which we&#8217;ll discuss in more detail next.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><img loading=\"lazy\" class=\"alignright size-full wp-image-219\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_exchangeadmin.png\" alt=\"\" width=\"212\" height=\"133\" \/>The Exchange Admin Center is actually the way to go when you want to configure your mail environment in more detail.<br \/>\nIt&#8217;s also a lot more fun to fiddle around in and it will give you a more general idea on all the mailbox features.<\/p>\n<p>For all on-premise Exchange server admins with experience in 2013 server or higher : you&#8217;re in for a treat as this is an almost-perfect copy of the &#8220;Exchange Control Panel&#8221; with just a tiny difference in some functionality. You can probably skip most of this part.<br \/>\nEven the URL is similar :\u00a0<a href=\"https:\/\/outlook.office365.com\/ecp\/\">https:\/\/outlook.office365.com\/ecp\/<\/a><\/p>\n<figure id=\"attachment_220\" aria-describedby=\"caption-attachment-220\" style=\"width: 300px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" class=\"wp-image-220 size-medium\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_ecp_dashboard-300x170.png\" alt=\"\" width=\"300\" height=\"170\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_ecp_dashboard-300x170.png 300w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_ecp_dashboard-768x434.png 768w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_ecp_dashboard-1024x579.png 1024w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_ecp_dashboard.png 1251w\" sizes=\"(max-width: 300px) 100vw, 300px\" \/><figcaption id=\"caption-attachment-220\" class=\"wp-caption-text\">Information overload<\/figcaption><\/figure>\n<p>Don&#8217;t be startled by the amount of clickable options in the Exchange admin Center.<br \/>\nWe&#8217;ll cover the basics, under the &#8220;recipients&#8221; section.<br \/>\nHave a look around in the other options, but don&#8217;t change anything for now.<br \/>\nFor your ease, click the Recipients link in the left menu.<\/p>\n<p>This will show us six options in the top menu :<\/p>\n<ul>\n<li><strong>Mailboxes<\/strong> : an advanced view per mailbox for setting up rights, mailflow, aliases, &#8230;<\/li>\n<li><strong>Groups<\/strong> : allows for creation of either a fixed ditribution group, a security group or a dynamic distribution group. The dynamic groups are actually quite fun to play around with. They set up a mail-enable group depending on certain variables such as company name, department, &#8230;<\/li>\n<li><strong>Resources<\/strong> are practically identical to shared mailboxes, with the difference that they have a fancy looking icon. Resource mailboxes have the purpose of creating a mailbox (more preferrably a calendar) for your hardware.<br \/>\nIf Oliver Shortstraw has a meeting room and a shared car, he might benefit from giving these items a calendar of their own (it&#8217;s free, anyway) so managing whoever needs to borrow the car or use the meeting room becomes a super-easy task.<\/li>\n<li><strong>Contacts<\/strong> : if you were to use external email addresses in tenant-wide mail rules, they need to be defined in this area.<br \/>\n&#8220;Mail contacts&#8221; are used for administrative purposes only.<br \/>\n&#8220;Mail users&#8221; are Active Directory enabled objects linked to an external mail address, allowing external users (like a gmail user) to perform things inside your cloud AD environment.<\/li>\n<li><strong>Shared mailboxes<\/strong> : as mentioned before, these mailboxes host mail, but aren&#8217;t linked to a physical user, thus not accounted for during licensing cost calculation.<\/li>\n<li><strong>Migration. <\/strong>I&#8217;ve always found this option to be somewhat misplaced in the recipients menu.<br \/>\nThe &#8220;Migration&#8221; option oviously lets you migrate to (and from !) Exchange Online through a couple of ways.<br \/>\nWe&#8217;ll be doing the second-to-easiest migration later on, as we&#8217;ll be importing shortstraw.be mail from the current provider over an IMAP migration.<br \/>\nIn case you&#8217;re wondering : importing PST files in Outlook is the easiest way.<\/li>\n<\/ul>\n<h2>Mailbox properties<\/h2>\n<p>Let&#8217;s start alphabetically and have a look at Annie&#8217;s mailbox.<br \/>\nDoubleclick her entry in the Mailboxes part of the Exchange Admin Center<\/p>\n<figure id=\"attachment_225\" aria-describedby=\"caption-attachment-225\" style=\"width: 850px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" class=\"wp-image-225 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie01.png\" alt=\"\" width=\"850\" height=\"573\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie01.png 850w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie01-300x202.png 300w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie01-768x518.png 768w\" sizes=\"(max-width: 850px) 100vw, 850px\" \/><figcaption id=\"caption-attachment-225\" class=\"wp-caption-text\">Annie, are you OK ?<\/figcaption><\/figure>\n<p>The more important options in this popup window (allow popups in your browser for this to work, by the way) aren&#8217;t the ones you see at first.<\/p>\n<p>Except from the &#8220;hide from address list&#8221; check mark, you can safely move on the &#8220;email address&#8221; menu for now. Feel free to have a gander at the other options.<\/p>\n<p><img loading=\"lazy\" class=\"aligncenter wp-image-226 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie02.png\" alt=\"\" width=\"542\" height=\"436\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie02.png 542w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie02-300x241.png 300w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie02-100x80.png 100w\" sizes=\"(max-width: 542px) 100vw, 542px\" \/><\/p>\n<p>You&#8217;ll see three entries by default, after\u00a0 having created a user with only one domain attached to the O365 tenant :<\/p>\n<ul>\n<li><strong>SIP<\/strong> : used in Lync\/Skype for Business\/Teams (the communication part)<\/li>\n<li><strong>SMTP<\/strong> (in uppercase) : the default address, by which all outgoing mail from this mailbox is sent. Also called the &#8220;reply address&#8221;<\/li>\n<li><strong>smtp<\/strong> (in lowercase) : an alias to the mailbox. Mail sent to this address will appear in the mailbox as well. Replies will be sent from the <strong>SMTP<\/strong> address.<\/li>\n<\/ul>\n<p>In our example, we&#8217;d like for Annie to receive cfo@shortstraw.be as well.<br \/>\nThis can be easily achieved by clicking the little <strong>+<\/strong> icon and filling out the form, where you type the complete e-mail address and pressing the &#8220;Save&#8221; button.<br \/>\nYou can edit here if this new address needs to become the reply address.<\/p>\n<p><img loading=\"lazy\" class=\"size-medium wp-image-227 alignright\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie03-152x300.png\" alt=\"\" width=\"152\" height=\"300\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie03-152x300.png 152w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie03.png 193w\" sizes=\"(max-width: 152px) 100vw, 152px\" \/><\/p>\n<p><strong>Mailbox features<\/strong> holds a plethora of options such as disabling the use webmail, denying mobile phone connectivity, litigation (see above), archiving, &#8230;<br \/>\nThe part I want to focus on is &#8220;Mail flow&#8221; (scroll down a little in the list or enlarge the window).<br \/>\nAgain, feel free to check out the other options as well.<\/p>\n<p>Click <strong>mail flow<\/strong> and a new window will appear where you get to fill out another form.<\/p>\n<figure id=\"attachment_228\" aria-describedby=\"caption-attachment-228\" style=\"width: 504px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" class=\"wp-image-228 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie04.png\" alt=\"\" width=\"504\" height=\"273\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie04.png 504w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_annie04-300x163.png 300w\" sizes=\"(max-width: 504px) 100vw, 504px\" \/><figcaption id=\"caption-attachment-228\" class=\"wp-caption-text\">Forward, march !<\/figcaption><\/figure>\n<p>Pretty straightforward option where you can setup a server-side mail forwarding, without Annie knowing about it.<br \/>\nFor legal reasons I&#8217;m obliged to tell you that you should inform your users of this forwarding rule.<br \/>\nTicking &#8220;Enable forwarding&#8221; enables you to click the &#8220;Browse&#8221; button, which in its turn shows you the list of available users to select from.<br \/>\nYou&#8217;ll see that this list is populated only by the internal addresses in your own global address list.<br \/>\nAnd this is where our &#8220;Mail contacts&#8221; from above come in of oyu&#8217;re to setup a forwarding to an address that&#8217;s not housed in your customer&#8217;s O365 tenant.<\/p>\n<p>&#8220;<strong>Deliver message to both forwarding addresses and mailbox<\/strong>&#8221; simply does what it says. If you weren&#8217;t to activate this after enabling the forward option, Annie wouldn&#8217;t receive mails anymore in her own mailbox, but all mails are forwarded without leaving a copy.<\/p>\n<p>One more option in the left menu of our user mailbox properties that we&#8217;ll look into within a couple of minutes is the &#8220;<strong>Mailbox delegation<\/strong>&#8221; menu.
