{"id":285,"date":"2018-07-06T16:25:28","date_gmt":"2018-07-06T14:25:28","guid":{"rendered":"http:\/\/zupertails.be\/wur\/?p=285"},"modified":"2018-07-06T16:25:28","modified_gmt":"2018-07-06T14:25:28","slug":"public-contact-folder-in-an-office-365-environment","status":"publish","type":"post","link":"https:\/\/zupertails.be\/wur\/?p=285","title":{"rendered":"Public Contact Folder in an Office 365 environment"},"content":{"rendered":"<h2>Get global<\/h2>\n<p>Imagine coming from an obscure mail system in which you got a couple of public folders, such as a Public Address Book (not to be confused with the GAL &#8211; Global Address List) or some public Agenda.<br \/>\nBasically, this could also be a non-obscure system, as even the most generic or widely-used mail systems provide this functionality.<\/p>\n<p>Having heard so much about Office 365, you decide to take the leap towards the cloud and start migrating all you mailboxes, only to find no default out-of-the-box public folder.<\/p>\n<p>Fear not, as the functionality is still there. Even though it was rumored Microsoft was going to stop support for public folders in an Exchange environment. User pressure caused M$ to re-evaluate their choice, thus public folders are here to stay (at least for 3 years minimum).<br \/>\n<em>This also applies to Exchange Server 2016, by the way<\/em>.<\/p>\n<p>&nbsp;<\/p>\n<h2>Howstuffworks.com<\/h2>\n<p>I&#8217;m going to assume you <a href=\"http:\/\/zupertails.be\/wur\/?page_id=287\">follow the necessary<\/a> steps to set up a working O365 environment<\/p>\n<h4>In the admin menu<\/h4>\n<ol>\n<li>Open the Admin &gt; Exchange menu in your <a href=\"https:\/\/portal.microsoftonline.com\">O365 admin<\/a> page<\/li>\n<li><img loading=\"lazy\" class=\"size-thumbnail wp-image-219 alignright\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/04\/o365_exchangeadmin-150x133.png\" alt=\"\" width=\"150\" height=\"133\" \/>Once inside the Exchange Control Panel, select &#8216;Public Folders&#8217; in the leftmost menu or on the dashboard.<\/li>\n<li>A new menu will appear, where you are to select &#8220;Public Folder Mailbox&#8221; in the topmenu.<br \/>\nFor some reason yet unknown to me, you have to create a public folder mailbox first before you can actually create a public folder.<br \/>\nOne would expect this to have all of this process automated&#8230;<br \/>\nOh well, best go with the flow.<br \/>\n<img loading=\"lazy\" class=\"wp-image-291 size-full alignnone\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu.png\" alt=\"\" width=\"400\" height=\"254\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu.png 400w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu-300x191.png 300w\" sizes=\"(max-width: 400px) 100vw, 400px\" \/><\/li>\n<li><img loading=\"lazy\" class=\"wp-image-293 size-full alignright\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu1.png\" alt=\"\" width=\"400\" height=\"200\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu1.png 400w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu1-300x150.png 300w\" sizes=\"(max-width: 400px) 100vw, 400px\" \/>Click the little &#8220;Plus&#8221; icon and fill out the necessary info.<\/li>\n<li>Once this is done, you get to create the actual shared folder in that same top menu, by selecting *insert drum roll* &#8220;Public Folders&#8221;.<br \/>\n<img loading=\"lazy\" class=\"wp-image-294 size-full alignright\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu2.png\" alt=\"\" width=\"400\" height=\"269\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu2.png 400w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu2-300x202.png 300w\" sizes=\"(max-width: 400px) 100vw, 400px\" \/>Click the little &#8220;Plus&#8221; icon in order to start creating your first Public Folder and name it as such.<\/li>\n<li>Click save and *BOOM* your folder has been created.<br \/>\nNow you should be assigning user rights to this folder, as you&#8217;re not going to be admin&#8217;in this folder yourself as global admin for this O365 tenant.<br \/>\nIdeally leave the administration of public folders for contacts, agenda&#8217;s etc. to the end-customer as this is a specific task for a specific kind of manager.<br \/>\n<img loading=\"lazy\" class=\"alignright wp-image-295 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu3.png\" alt=\"\" width=\"400\" height=\"229\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu3.png 400w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu3-300x172.png 300w\" sizes=\"(max-width: 400px) 100vw, 400px\" \/>If you&#8217;re reading this as the IT guy\/girl for a small company, you&#8217;re probably screwed and get to do this task yourself.<br \/>\nClick the newly created folder once so that the focus is on its name and next click on &#8220;Manage&#8221; in the right column.<\/li>\n<li><img loading=\"lazy\" class=\"alignright wp-image-296 size-full\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu4_permissions.png\" alt=\"\" width=\"400\" height=\"286\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu4_permissions.png 400w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/public_menu4_permissions-300x215.png 300w\" sizes=\"(max-width: 400px) 100vw, 400px\" \/>You can choose who you want to allow specific rights to this folder, by clicking the necessary rights ticks or selecting prefab permission levels in the dropdown menu.<br \/>\nPress &#8220;Save&#8221; when done.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<h4>Actually creating contacts<\/h4>\n<ol>\n<li>\u00a0Start by opening Outlook as a user that has owner rights (or sufficient rights to create folders) to your public folder and go to &#8220;Folder View&#8221; (that&#8217;s the three little dots in the bottom of your left column, in case you don&#8217;t have a 4K screen)<br \/>\n<img loading=\"lazy\" class=\"aligncenter size-full wp-image-299\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/outlookfolderview.jpg\" alt=\"\" width=\"739\" height=\"355\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/outlookfolderview.jpg 739w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/outlookfolderview-300x144.jpg 300w\" sizes=\"(max-width: 739px) 100vw, 739px\" \/><\/li>\n<li>Next, open the new public folder by expanding &#8220;All public folders&#8221; until you&#8217;ve reached your root folder (which should just be one click, normally)<br \/>\n<img loading=\"lazy\" class=\"aligncenter size-full wp-image-300\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/folderview_public.jpg\" alt=\"\" width=\"626\" height=\"380\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/folderview_public.jpg 626w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/folderview_public-300x182.jpg 300w\" sizes=\"(max-width: 626px) 100vw, 626px\" \/><\/li>\n<li>Right click the root folder and select &#8220;New folder&#8221;, after which you give it an appropriate name and select &#8220;This folder contains Contact Items&#8221;<br \/>\nAs you see, other options are available, such as a public agenda etc.<br \/>\n<img loading=\"lazy\" class=\"aligncenter size-full wp-image-301\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/pf-createnewfolder-contact-items-1.png\" alt=\"\" width=\"316\" height=\"367\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/pf-createnewfolder-contact-items-1.png 316w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/pf-createnewfolder-contact-items-1-258x300.png 258w\" sizes=\"(max-width: 316px) 100vw, 316px\" \/><\/li>\n<li>We&#8217;ve already set the rights for admin, but as an owner, you can easily set other user&#8217;s rights afterwards through Outlook, instead of having to run over to your Exchange Control Panel as the global admin user.<br \/>\nIn any case, you can right click your newly created folder, that will now have a Contact icon and select &#8220;Properties&#8221;<br \/>\n<img loading=\"lazy\" class=\"aligncenter size-full wp-image-302\" src=\"http:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/sharedcontacts_properties.jpg\" alt=\"\" width=\"403\" height=\"559\" srcset=\"https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/sharedcontacts_properties.jpg 403w, https:\/\/zupertails.be\/wur\/wp-content\/uploads\/2018\/07\/sharedcontacts_properties-216x300.jpg 216w\" sizes=\"(max-width: 403px) 100vw, 403px\" \/>&#8230;where you can tick the option\u00a0 &#8220;Show this folder as an e-mail address book&#8221;, so that Outlook (and you mobile as well as webmail) will be able to display this list for you to search through.<br \/>\nConfirm with OK.<\/li>\n<li>Clicking the &#8220;To&#8221;
